Service Setup, Category Changes & Item Information

If my alliterative title isn’t as overtly obvious as previous posts, it could be caused by a cornucopia of categorical changes that couldn’t be cleanly condensed or clearly combined. Sorry, I got carried away. The point is, there’s a lot of great new stuff!

Setup Service Properties & Categories From Any Plan
Setup optionsYou can now do all of your service setup directly in any plan! To edit your main service properties, click the pencil next to your service name. To edit people or note categories, click the gear icon that appears when you hover over the blue People or Notes headers. To edit Item Note categories, edit an item and then click the gear that appears when you hover over the Item Notes heading. To edit templates, click to create a new plan and then click “Manage Your Templates”. You will still see the “properties” button under each plan on the dashboard for a while, but eventually that will be removed completely in favor of these new methods.  Here are some screen shots of the new setup locations.

Reorder Categories

You can now reorder all of your categories (people, item notes, plan notes). Just edit them from their new locations listed above, and drag and drop! In addition, all categories and even your plans can be recovered up to 7 days after you delete them. Just edit the category and click the “Recently Deleted” section at the bottom to recover it.

Sticky Item Notes

sticky notesAs we’ve logged into people’s accounts to help them with various questions, we noticed that many churches have a lot of Plan Item Note categories. We also noticed that many of them frequently go unused and just take up extra room in the Editing Item box. To help alleviate this, we’ve added a new option called “Sticky” when you edit your Item Note categories. Sticky Categories will always show up when you are editing items, and non-sticky categories will stay out of your way until you click the new “add another note” button. So if you have item note categories that you rarely use, edit the category and uncheck the “Sticky” checkbox to streamline your item editing.

Plan Item Details

We’ve added a new field to all plan items called “Item Detail”. This new field is directly beneath item description and is a great place to put any detailed information. The Item Detail box includes Rich Text Formatting and is perfect for those of you who like to include lyrics or maybe the message outline or script since it gives you a much larger space to type.

Updated Sidebars and Buttons

You’ve probably noticed our gradual design enhancements over the last couple of upgrades and this release comes with another one. All of the sidebars have been given subtle graphic enhancements with softer colors, better spacing, and updated buttons & icons. We’ve also combined Upload an Attachment and Link to an Attachment into one new box, “Add an Attachment.” This cleans up the view a little, and more importantly, paves the way for some cool new kinds of attachments you’ll be able to add in the future. ;)

Browse Custom Properties

When we updated the profile pages a couple of weeks ago, we changed the way you assign Custom Properties to individual people. Instead of browsing a potentially long list of properties, we changed it to a search box where you could type the name of the property directly. For many people, the new way is better than the old way, but for people who need to assign a large number of properties to a single person, it can be hard to remember the properties. So now we’ve updated the custom property search box to be even smarter. When you click to search, it will immediately show you all your property headings, and when you click one, you it will show you all the options so you can quickly assign them.

Stay Up to Date on Updates

That’s about it for now, but as usual we’re already plugging ahead on the next update. Occasionally we release small things in between major updates that don’t merit a notification box in PCO. this is so awesome! PCO just keeps getting better and better, even as I’m plugging stuff into it today. Thanks, guys! The new look of the item editor pages is awesome, and I LOVE LOVE LOVE the RTF option in item details. This is EXACTLY what i’ve been needing!

I am EXTEMELY excited about the plan items details function. I had been hoping you would provide this update for a while now!

BUT — it’s currently not working for me. When I type something or copy something into the details box and hit accept, the screen sticks on “loading”. I have to hit refresh to get it to stop, and then the details don’t show up on the item.

Any help?

    Hello Karen,

    I think this was an issue with new items, you can’t edit the detail until the item has been created. I have updated the text to reflect this. Please try again and if it doesn’t work can you please e-mail support with your browser version and we will check into this ASAP.

Hello team,
Can you work on being able to drag and drop –”Plan times & Rehearsal times” in the matrix. This takes me hours to retype each week with all our services and rehearsals. That would just make my day!!! :) Keep up the good work~!

    Hi Cheri, When PCO creates new plans, it copies the times from the last plan in the list. If your last plan has the correct times, you should only have to update them if they change. That said, we do hope to add times to the Matrix in the future. Thanks!

I was attempting to edit items that had already been created. I was trying to add lyrics to song items. I’m running windows 7, internet explorer. I’ll email support too.

Was just working with the new “Item Detail” feature. Any chance the data in that box would be visible when you click the item’s blue triangle(expanding)? If not, no worries.

    I definitely have to second that one. It seems to me the only way to see them without editing them is to print a report. Even if it’s only an option to have the “details” display on the blue triangle expansion.

    Also, ditto on the hanging at the loading screen after accepting your details after editing. I’m sure you’re working on that one.

    Hi Phil, item details will show when you expand an item probably later today or tomorrow. We’re also working on a fix for the hanging loading screen that will be fixed at the same time. Thanks for the comments!

Hello! Will the edit details show up when the service is run in LIVE? I’m just wondering if our pastor could put in his sermon notes there and be able to follow them in LIVE?

    +1 on this, it would be helpful to have a ‘live’ screen that included all the detail listed on the plan. We put things like which mic someone is going to use, where they’ll be located, etc… and those notes would be helpful for the people who are running ‘live’ in the CR. Great updates!!!

    Hi John, Live already shows all the regular item notes for all the categories you have. Many churches make note categories for each thing, like a microphones note and then put that information there. We are considering adding the new Item Details field into Live, though.

Thank you. I like these updates. I appreciate that you guys are constantly working to make PCO better and workable for everybody.

I agree with Cheri, I would also like a way to make editing times easier. Our services are at the same time every week, so I find it frustrating that I can’t add a time to a template. I manage 3 different types of regularly scheduled service plans within the children’s church every month, so the box to check to “update future plans” doesn’t work for me.

I think I’d like to be able to set the stickiness of each category using the Note gear and then choosing the pencil for each category listed.

    I’m not sure I understand. Stickiness is to hide categories that you don’t often use. Plan Notes don’t show unless you actually use them, so it wouldn’t really apply to that. It’s more to clean up the edit item dialog. Sorry, if I misunderstood your question.

    So we create plans off into the future. I choose the last one and edit to suit future plans created. Since there are no items in this plan yet (only headers), I was hoping I could choose the default stickiness of note categories by choosing the gear in the notes category, then editing each with the pencil icon, but there is no stickiness box in there. The stickiness only shows if there’s a note item in place. So, this to me basically says there are notes for every category (yes were are one of those), but only these categories show up by default when you add a note.

    Hi Ken, I think there might be confusion between Item Notes and Plan Notes which are two different things. Plane Notes, which are located in the left sidebar of every plan, don’t have stickiness at all. They only show up if you have entered a note into that category.

    Item Notes are located inside each item in your order of service. You can create or edit an item, and your item note categories are at the bottom of that box. Item Note Categories can be sticky, so that the edit item box doesn’t show categories you don’t use very often. Here’s an article on item notes including stickiness.

    Makes sense. Was looking for a way to set default stickiness of item notes as currently all are sticky. Right now, if a new plan is added, all the item note categories are sticky, and I want only a few sticky.

    For example, I click “add an item”. I see the entire list of note categories, and by default I want that list to be shorter. As it stands now, every one is sticky.

    …. pause while I try this ….

    So, I see that after adding an item and choosing the pencil for those I don’t want sticky, it carries forward to other plans in the past as well.

    Oh well, wasn’t intuitive. :-)

    Expanding on our email capabilities is one of the higher things on our list of feature upgrades. I’m not sure when it will happen, but we are planning on it.

Thanks for the changes! You guys are awesome. Now my whole world definitely revolves around planning center. With item details I can now put all my liturgy for our traditional service in the rubric as well, and highlight/format it for print outs for our pastors and leaders!

I have figured out how to add a Worship Team to the calendar. Is there a way to show if someone is subbing for someone on the calendar?

    There isn’t really a way to see that on the calendar, you would have to go into the plan and see who else is scheduled.
